What is Workday? A guide for job applicants
You uploaded your CV and it somehow became a mess of garbled text in the form fields. Here is why that happens and what to do about it.
The 30-second version
Workday is a software platform used by thousands of UK employers to manage HR, payroll, and recruitment. When you click "Apply" on a company's careers page and are redirected to a portal asking you to create an account, there is a strong chance you are looking at Workday.
Workday is an Applicant Tracking System. It reads your CV, attempts to extract your work history, and presents the results to a recruiter. If your CV formatting confuses the parser, you look incomplete before anyone has read a word you wrote.
Why it asks you to re-type everything
When you upload your CV, Workday tries to parse it automatically and pre-fill the application form. Job title, employer, dates, skills, education. If the CV is formatted simply, this works reasonably well. If it uses tables, columns, headers, footers, or text boxes, the parser misreads the structure and the form fills with garbage or blanks.
The re-typing prompt is Workday telling you its own parsing failed. You are now manually correcting what the system got wrong. It is tedious and it is entirely avoidable with the right CV format.

Who uses Workday in the UK?
Workday is used across large UK employers in finance, healthcare, retail, logistics, professional services, and the public sector. The NHS, major banks, supermarket chains, and most FTSE 250 companies are likely to be running Workday or a similar enterprise ATS.
You will typically encounter it when applying to organisations with more than 500 employees. Smaller companies and recruitment agencies that receive CVs by email usually do not use it.
How to format your CV for Workday
The safest format is a single-column Word document or plain PDF with standard section headings. Nothing complicated.
- No tables or columns. Workday reads left to right, top to bottom. Columns cause it to merge content from different sections.
- No text boxes or shapes. Content inside these is often invisible to the parser.
- No headers or footers for key information. Many parsers skip headers and footers entirely. Your name and contact details must be in the main body.
- No graphics, icons, or image-based skill ratings. These do not parse as text.
- Standard section names. "Work Experience," "Education," "Skills." Unusual headings can confuse the categorisation.
- Consistent date format. Month and year, written the same way throughout. "March 2022" or "Mar 2022." Not a mix of both.
Keywords matter more than you think
Workday scores your application before a recruiter sees it. If the job description says "project management" and your CV says "leading delivery of initiatives," the scoring system may not connect the two.
This is not about stuffing your CV with keywords. It is about using the same vocabulary as the job description for skills and experience you genuinely have. If you managed projects, and the job asks for project management, say project management. The meaning is identical. The keyword match is not.
